What information is needed for an LTL freight quote?

A useful LTL quote begins with a clear picture of the freight and the pickup and delivery locations. Before requesting pricing, gather the details below. If something is unknown, flag it so it can be reviewed before booking.

1. Describe the commodity and packaging

Use a specific description of the goods rather than a broad label such as “merchandise” or “parts.” State how the goods are packaged, how many pallets or pieces are being shipped, and whether units can be stacked. Include any fragile, irregular, or temperature-sensitive characteristics.

2. Measure and weigh the prepared shipment

Provide the length, width, and height of each prepared pallet, crate, or other unit. Include packaging and any overhang in the measurements, and include the pallet and packaging in the loaded weight. Identify units that have different measurements or weights instead of describing every unit as identical.

Provide the total shipment weight as well. If final packaging is still being completed, explain which figures need confirmation before the quote is finalized.

3. Include freight class and NMFC details if known

Send the freight class and NMFC item number if available. Freight classification considers density, handling, stowability, and liability; dimensions alone do not describe every classification consideration. The National Motor Freight Traffic Association explains these factors.

If the class is unknown, provide the commodity, packaging, weight, and dimensions for review. Do not reuse a class from a different product or assume a class solely from pallet count.

4. Describe both locations

Give the pickup and delivery ZIP codes and identify the type of facility at each end. Note whether each location has a loading dock or suitable equipment to handle the freight. Include business hours and any driver access or check-in requirements.

Specify residential or limited-access locations and requests for liftgate service, inside delivery, or appointments. These details should be reviewed in the quote rather than introduced after the shipment is booked.

5. State the timing and special requirements

Include the requested pickup date, delivery deadline, and appointment windows. For temperature-sensitive freight, state the required temperature range in °F and the relevant handling instructions. Service and equipment availability need to be confirmed before booking.

  • Commodity and packaging described clearly.
  • Pallet or piece count included.
  • Each unit's dimensions and loaded weight supplied.
  • Total shipment weight supplied.
  • Freight class and NMFC included, or marked unknown.
  • Pickup and delivery ZIP codes and facility details included.
  • Dates, appointments, extra services, and temperature needs stated.
  • Contact name, company, and email included for follow-up.
